Assignment: 1, subject title: foundations of business management, subject code: bbs013-, size of assessment: 2400 words, topic: business case/ individual report, executive summary:.
The purpose of writing this business case is to identify and analyse the solutions for problems identified by the employees of LTR so that the best option can be analysed, and a project can be planned with the help of analysis. The employees were facing some problems with the communication system of LTR. Therefore, LTR is planning to launch a new platform for communication which included different options. However, MS Teams was recognized as the best option through weighted scorecard model. Moreover, the expected benefits of the project are discussed along with its disbenefits to make sure that benefits outweigh disbenefits. Furthermore, the estimated timescale is given along with the estimated cost of the project which includes ‘total project cost’ and ‘maintenance cost.’ After analysing these factors, a conclusion is given in the end to justify the choice of MS Teams.
Introduction:
Luton Town Residences (LTR) is an organization working to provide adequate housing to needy and vulnerable people in Luton Town. Its central office is in Luton Town Centre and the operations are conducted from there. Moreover, it owns and controls many other separate housing blocks that are divided into General Purpose Housing and Supported Housing. General Purpose Housing operated through different functional teams that include the Finance Team , Facilities Maintenance Team and Customer Services Team . Supported Housing also uses these functional teams with addition to personal coaches that are assigned to each resident. However, due to the Pandemic (Covid-19), most of the operations of LTR have shifted to virtual work that includes emails and video conferencing on ‘Zoom’.
Reasons for Business Case:
A business case is required to satisfy the needs of a business or an organization. A business case helps an organization to focus on achieving a specific target and aims to substantiate what is important for an organization so that an organization can emphasize what is important for a business or an organization. Moreover, it helps to reduce waste of valuable resources that can be utilized on other projects. (Brian and Siegelaub, 2009) So, LTR needs to develop a business case because a sense of disappointment was seen among the employees. Firstly, the employees were exhausted due to the constant workload and they would receive loads of emails everyday which caused lack of storage on their devices plus constant video calling was time consuming and was not productive. All the employees of different functional teams agreed to a point that they need a different medium to connect with each other rather than emails and Zoom.
Hence, the above table provides the score of the options available to LTR to setup new platform. And according to the table MS Teams is the best option for LTR because it fulfils the requirements of LTR.
Expected Benefits:
Expected benefits in a project refer to the improvement that has been seen in a business or organization due to particular project. Moreover, positive outcomes of a project are also called expected business. (Thiry and Matthey, 2005) So, according to weighted scorecard, ‘Microsoft Teams’ have the best score which means that MS Team is most suitable choice for LTR to remove employees concerns and make a better platform for communication. MS Team has scored more in weighted scorecard because MS Team is user friendly and with just one touch employees would be able to connect with others through audio or video calls. Moreover, it can easily be accessed, and it provides more data security and employees would be able to take notes and share documents with the help of MS Teams. It would help reduce the burden of emails from employees and will create a positive working environment which eventually will increase the produc tivity of the organization.

so, this timeline reflects that 6 weeks will be required to use the new platform of LTR and project duration will be about 6 weeks.
Benefit Realisation Timeline:
Benefit realisation timescale is time period in which benefits of a project can be realised. Benefits are mostly recognized after completion of the project. It can take 3 to 6 weeks to recognize the benefits of a project. (Benefits Realisation, n.) Benefit realisation timescale is shown below:
So according to this timeline, the first benefit will be realised in 3rd week and then this realisation will continue. In the first two weeks, the project will be assessed and then benefit will be realised after using and experiencing MS Teams.

Estimated Costs:
Estimation of costs and budgets is necessary in a project because the whole project depends mostly on budgets. Budget decides the efficiency and quality of a project. A higher budget will mean that projects can be completed early by hiring more employees and decent quality can also be supported if the budget of a project is strong. Estimation of costs predicts the expenditure of resources on a particular project. Estimation of costs helps to identify and check the reasons for any increase in cost. Eventually it helps to prevent wastage of resources. (Watt, 2016) Therefore, the estimated cost of the project and the running cost of the MS Teams that will include the training and maintenance cost of the project. The cost of the project is calculated below:

Maintenance cost will include the ongoing training cost because training will be needed to employees during operations as well so this cost will continue for initial months. Plus, the cost of MS Office 365 will also continue per year until the end of Pandemic when normal routine will start.

Reflective Writing
In the first week, I learnt about the structure of organizations and operations management. These topics were not difficult for me to understand because I studied these topics in my A levels. However, the lecture further enhanced my knowledge about these topics. These lectures helped to understand the complexities of operation management. Furthermore, in week 1, I learnt about the Tuckman’s model of team building in which I learnt about the forming, storming, norming, performing and adjourning stages of a group. This week was relatively easy for me because I studied most of the concepts in my A levels. Moving on to next week, I learnt about the concepts of lean production and a poster activity was assigned to me in which I had to make a poster of lean production concepts and its examples. I had to research it, but I made that poster successfully.
Furthermore, in this unit, there was a group activity in which a business case was provided that stated that an organization named LTR faced a problem in communication between employees so I along with my other classmates was asked to analyse the possible options to solve the communication problems of LTR. So, I started my work along with other class fellows in which ‘we’ decided to form a group by applying ‘Tuckman’s model of team building’.
Tuckman’s model of team building states that teams need to go through different steps, firstly there’s a forming stage in which a team is created, this helps group members to interact with each other and introduce themselves. Therefore, group members know the skills of each other at the initial forming stage. The second stage is a storming stage in which group members go through new experiences. In the next step that is norming, group members try to collaborate with each other and accept each other’s opinion. The performing stage is a stage where every member of a group is focused on achieving a particular goal. The final stage is an adjourning stage in which a team is developed, and the success of the group is celebrated. (jones, 2019)
Although the conflict among my team members was minor, but still needed some courage and effort to solve that conflict. Therefore, my group members and I decided to resolve those conflicts through Belbin’s team role theory. Belbin’s team role theory is used to resolve conflicts and problems among group members. This theory assigns distinct roles to different personalities. (Belbin, 2014) Belbin’s team roles are identified and explained in the following image:

So, Belbin’s team role helped me and my group fellows to solve the conflict, I played the role of a ‘Shaper’. I took responsibility because I felt like someone will have to step up and solve the issues and for that purpose, I explained the aim of the project to the whole group and then I persuaded my group fellows to understand each other because in the end we had to achieve our goal. However, this was a good experience
because it helped me to recognize my skills. Plus, it taught me to accept the fact that everyone has its own opinion, and every opinion should be appreciated. Hence, after these two activities my knowledge further enhanced, and I learnt many skills during this time period. My learning experience reflects Kolb’s experimental learning cycle. Kolb’s learning cycle indicates the progress and process of learning. As per Kolb’s learning cycle, the first stage is Concrete Experience that refers to going through an experience or experiencing something. The next stage is Reflective observation which means demonstrating or reviewing the experience you went through. The third stage is Abstract Conceptualisation that refers to a stage when you learn from the experience you had. The final stage is Active experimentation means to plan and apply the ideas learned from experience to other situations around the globe. (Healey and Jenkins, 2000) Kolb’s learning cycle is shown below:

So, as per Kolb’s experimental learning cycle, I went through Concrete experience during my practice week because I worked in a group and developed different skills. So, during this time period, task I experienced the use of MS Office and I learnt features of MS Office that enhanced my knowledge and further developed my skills
